We are seeking a highly organized and detail-oriented Wealth Planning Support Specialist to join our team. The ideal candidate will provide vital support to our Advisors by ensuring seamless preparation for client meetings, efficient follow-up on post-meeting tasks, and high-level administrative client service. Additionally, this role involves research, information gathering, and assisting with project-based tasks to ensure operational efficiency and client satisfaction.
Duties include:
• Accurately generate client reports, assemble comprehensive meeting packets, and prepare all required documents based on established templates and checklists. Ensure materials are complete and ready in advance of client meetings.
• Execute post-meeting action items, including forms, updates, data entry, and follow-ups in a timely, accurate manner. Monitor deadlines for follow-up tasks and ensure completion with minimal errors.
• Handle routine service requests such as gathering client information, preparing necessary paperwork, and updating CRM notes. Coordinate with custodians and other partners per firm procedures to ensure prompt and effective client service.
• Assist advisors with basic research on planning topics, financial products, and services. Summarize findings and present them in a clear, standard format for easy reference by advisors and clients.
• Carry out project steps as delegated, ensuring tasks are completed according to project timelines and company processes. Maintain and organize project-related documentation and assist with processrelated administrative tasks as needed.
• Proven experience in administrative support, ideally in wealth management or financial planning.
• Strong organizational and multitasking skills with a keen attention to detail.
• Ability to work efficiently and independently in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
• Excellent written and verbal communication skills.
• Ability to maintain confidentiality and handle sensitive client information with discretion.
• Knowledge of basic financial planning concepts and products is a plus.
