Administrative Coordinator - Student Financial Aid Services

Founded in 1971 in Long Island City, Queens, LaGuardia Community College is one of seven community colleges of the City University of New York (CUNY). LaGuardia offers more than sixty associate degree programs and more than fifty workforce training, ESOL, GED, and pre-college programs. In 2023, LaGuardia served approximately 24,000 students. More than one-third of LaGuardia?s degree-seeking students are born outside the United States; they come from 136 countries and speak 43 heritage languages. Sixty percent are first-generation college students.

Virtually all LaGuardia students are ethnic minorities (89 percent), 58 percent are women, 27 percent are over the age of 25. Forty-six percent of associate degree students are Hispanic. Upon graduation most students transfer to four-year colleges, typically in CUNY, to complete their baccalaureate degrees. Graduates of career programs such as Nursing, Computer Technology, and Veterinary Technology enter the workforce. The Student Financial Aid Services Department is seeking an Administrative Coordinator who will report to the Senior Director of Enrollment Management and Student Financial Services and assist with the following duties and responsibilities:

Performs complex administrative work that may involve working with other College units to complete significant administrative functions (e.g., payroll, facilities, personnel, budget, records, security, etc.). Typical duties are outlined below:

• Follows up with staff and administrators throughout the College, University, and the community to resolve problems;
• Coordinates the work of others for program activities and events, including registration, room arrangements, travel, fee collection, purchases, etc.;
• Coordinates meetings for the Senior Director and staff as needed;
• Assists in monitoring budgets and expenditures;
• Prepare purchase requisitions;
• Formats and prepares statistical reports and related charts and graphs;
• Drafts routine correspondence;
• Prepares and coordinates the distribution of staff training materials;
• Keep up with changes in college business processes/software;
• May take dictation and/or transcribes notes, if necessary;
• Assist with special projects and related job-related duties as assigned.

QUALIFICATIONS

Bachelor's Degree required.

PREFERRED QUALIFICATIONS

• Two years higher educational experience
• In addition to general computer proficiency with Microsoft Office (Word, PowerPoint, Excel) knowledge of federal and state financial aid programs is desirable
• Demonstrated commitment to providing quality customer service in a diverse college.
• Flexible schedule during peak periods

• Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
• Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
• Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
• Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
• Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
• Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
• May supervise office staff and student workers.
• Performs related duties as assigned.
